Build the package around the event journey
Identify arrival, registration, sessions, gathering areas and the moments where sponsors need visibility. A compact event may need only a backdrop, banner stands and directional panels. Larger programs benefit from a location list that tells the setup team exactly where each item belongs.
Balance portable and venue-specific pieces
Keep reusable hardware and long-term brand messages separate from dated event graphics. Ask which pieces need to travel, fit in a vehicle or be set up by staff. Large-format graphics, floor applications and overhead elements require the venue’s installation and material requirements.
Confirm the delivery and setup window
An event date is not the same as the receiving deadline. Provide the loading location, recipient, venue rules, setup window and any labeling instructions. Specialized rigging, electrical work and restricted installation tasks must be arranged through the responsible parties for that venue.
Understand the cost beyond print
Hardware, finishing, packing, multiple destinations, rush revisions and setup services can affect the package. Approve sponsor logos and final content early; changing names or artwork after production may require replacement graphics.

A few useful answers.
Can we reuse displays for another event?+
Often, yes. Select reusable hardware and keep date-specific graphics replaceable. Store the approved dimensions and product information for the next order.
Can you deliver directly to the venue?+
Share the receiving address, date, contact and labeling instructions so the available delivery arrangement can be confirmed.
What if the venue has material requirements?+
Send the exhibitor or event manual before specification. Product documentation should be reviewed for the exact graphic, substrate and mounting method being proposed.
