Build one production schedule
Group the program into booth identity, product storytelling, sponsor graphics, meeting areas, and attendee directions. Give every piece a size, quantity, material, artwork owner, delivery destination, and deadline. A single schedule makes it easier to catch mismatched dimensions or a missing approval before those issues reach production.
Separate a new booth from a graphic refresh
A new booth requires a layout and hardware plan. A refresh starts by verifying the existing components and their templates. Do not assume an old print file is dimensionally correct for replacement hardware. For a multi-event program, choose which elements remain constant and which panels carry date-specific or product-specific information.
Work backwards from receiving and move-in
The show opening date is not the production deadline. Establish artwork approval, freight pickup, warehouse or direct-to-show receiving, move-in access, and installation windows. Share the exhibitor manual. Las Vegas Convention Center publishes contractor and facility requirements; other venues and individual shows have their own rules. Confirm responsibility for services such as material handling, rigging, electrical work, and labor.
Package for a person who did not design it
Label the pieces by location or booth component. Include an inventory and approved placement reference. Protect the graphics for the actual transport method and plan return packaging for reusable items. A clear handover reduces guesswork for the installation crew and makes missing pieces easier to identify before the event opens.
Request a scope your team can approve
Send the booth plan, event name, venue, deadline, hardware list, and production schedule. Ask the proposal to distinguish graphic production, hardware, packing, delivery, and any installation coordination. We can discuss a single urgent component or a larger repeatable program, with timing and access confirmed against the actual requirements.
